Businessman today face a unique dilemma relating to e-mails. On one hand, they need e-mail communication for promoting and expanding their business. On the other, their mail boxes are usually bombarded with unsolicited emails, i.e. spam. for which they install spam filters.

Spam filters can minimize the amount of spam, but in the process, sometimes even block a legitimate e-mail. So what can you do to ensure that your legitimate e-mails lands into the inbox of your business partner rather than in junk folder.

Many e-mail programs have a built-in filter that automatically blocks messages from any sender whose e-mail address is not in the recipient's address book or safe sender list. To ensure that your messages are received in the inbox, you can request the recepient to add your e-mail address in their address book or safe sender list.

Second thing is that your e-mail message should be carefully crafted. Use a proper subject line i.e. a meaningful subject, rather than using something like "Free DVD player" or "Get money at no guarantee". The e-mail should not be filled with all 'sales words' to alert the spam filters to block/send your e-mail to junk folder.

You should also avoid using words like "Urgent", "Important", "Free"", "New car", "Loan", "Insurance", "investment". Try to use some alternative words. The sentences should be short. Don't send e-mails containing libelous, defamatory, offensive remarks. Make sure not to write in "CAPITALS" and attach unnecessary files.

I am not receiving any response from importers who have contacted me for business. Are they not receiving my emails or they are going into spam? I usually type the subject of email in CAPITAL, is it because of this they are not receiving my emails? I have heard about spam score, can anybody through some light on it.

I have been told using the word DEAR to address someone also gives you lot of negative points in spam score.

I agree with you that we should avoid using like words "Loan", "Insurance", Investment". But I am doing business & providing services related to Loan, finance. So how can i omit these words when i sending e-mails. Are there is any alternate options / suggestions to save my e-mails from going into spam..

Are there tools that a small business owner like me can use to help evaluate and improve e-mail messages before sending? I want to evaluate my e-mail to check the likelihood of getting caught in spam filters, is there any solution?

Your run the risk of your e-mails not being delivered and marked as spam, depending on how you create and format your e-mails. If you are writing the subject of e-mail in CAPITAL, your spam score will go up. A spam score is a formula to evaluate whether an e-mail is a spam or not. A score (by default) of 5.0 is enough to mark your email as "spam." The rules used in assigning spam scores change and update frequently.

Many believe that writing the subject in CAPITAL is enough to brand your e-mail as spam, but it's just one factor in the spam score. There are other factors like HTML, hyperlinks, background color, large fonts, subject et al. You can ask the importers to add your e-mail address in their address book / safe sender list.

Yes, to my knowledge, using the word "DEAR" in your e-mail would add to your spam score. If you are writing "Dear Sir/Madam" then in most cases, 1.5 points are added to your spam score. So I would suggest you to write "DEAR" along with the name of the person. You can yourself test by sending e-mail (writing both ways) and see whether the e-mails go into the inbox or spam/junk folder.
