TOPIC : Is it worth to send free samples to importers ?

Importers/Buyers usually ask for free samples before importing any product. Should free samples be sent to the importers or Importer should pay for the samples and shipping charges ?

It depends on cost of samples and at least courier charges should be paid by the buyer.

1. If the value of your sample is high, then the buyer should pay the sample fee and the freight charge and you can refund the sample fee to the buyer when he place order with you.

2. If the sample value is little, then you can send samples free to importer, but they should pay for the freight charge, which can prevent some people who are hunting for free samples.

3. You can also negotiate with the buyers about samples. It depends on the agreement you make. May be you can ask buyer to pay half of the value of the sample.

It is the basic principle for the importers to pay for the freight charges when the samples are given free. In most cases,the importers would want to have it free all the way inclusive of any local import taxes. In most cases the seller would pay for the samples, freight charges and in certain cases, the local taxes. The onus is on the seller to specify the importer that the latter pays for the freight charges and local taxes if any upfront in the first instance. Upon successful receipt of the order, the sum incurred could be reimbursed.

Is it worth to send free samples to importers ?

We have seen in so many cases, Buyer tries to get the sample free of cost, but if samples are offered free of cost, around 80% of importers will not, actually, place the order and they will just sell the free sample. The best way to offer the sample for free is to offer reimbursement at the time of placing the actual order. So that the Importer and Exporter both will get benefited.

I am a project developer working on a resort project in the Philippines and I made contact with one of your members, Micafab India Pvt. Ltd in Chennai, through this website. I requested a small sample of product and Micafab were very helpful in quickly sending it to my main contractor in the Philippines. We have been undertaking trials with the sample they provided and we are extremely pleased with the results to date. With so many suppliers to choose from in India it was very pleasing to have had such a positive and helpful response from Micafab. I would recommend this company to any of my associates based on their fast response to my enquiry, their willingness to accommodate my request for a small sample of the particular product I was interested in, and their excellent follow up afterwards. I hope that we will soon progress to the specification of their product in my project, and the beginning of a mutually beneficial business relationship together. Given that this was my first enquiry to a supplier in India, I have been very satisfied with the result, and congratulate Tradeindia and it's most professional member, Micafab India Pvt. Ltd in Chennai.

It has to be seen what type of buyer it is. If the buyer is your regular buyer and wants some new developments then there is no hitch in sending the samples as he may give new orders. We have been doing so and sending free samples and also getting orders.

But if the buyer is from Some of the African countries like Benin, Togo etc. then the supplier must be careful.

One should be careful to send free samples to new buyers, particularly buyers from African countries are not reliable. Some fraudulent persons create impressive website
and pose as genuine buyers and collect different goods free of cost.

It is worth for the exporters to send samples at their cost. That shows their commitment towards expanding their business. And it is also important that the importer choses the right exporter in India. You cannot do business with everybody.

There are factories in Tirupur who send excellent samples and pre-production samples and goods from the production lot. But the produced goods can be substandard, with substandard collars or terrible plackets.

Especially a country like South Africa where quality is given more importance, the buyers must be very careful in choosing the suppliers in India.

Is it worth to send free samples to importers ?

I am an importer within one of the gulf countries. Yes we do ask for the FREE samples as a record to be maintained if any supply is negotiated in future. Many a times it happens that we get excellent samples and while actual QC is taken at the export point, we find the stuff hopeless. At this time the recorded sample provided to us becomes the base of cross check. It is obvious that freight and other charges are incurred. This all is in business. While dealing with parties for local supplies, we have to submit samples, in most of the cases they never come back. From the entire lot we keep aside some pieces for samples only. Their cost is included in the inventory costing. while in business we cannot just backup on this. Nowadays, we have even started getting Missed calls from exporters, traders in India who want to talk to us for their work on our cost. What can you say about this. I really agree with Mr. Shyamala Nath on this point about exporters in Tirupur. On my personal visits to Tirupur, If I like the samples presented, I even pay for the same if asked. But afterwards supplier does not even bother to follow up the business or reply to our query or requirements. This also happens there.

I was cheated by one supplier by sending all inferior stuff than ordered. Only lucky point in my favor was that documents were sent through bank 30 days DP on shipment. But the supplier was shrewd enough to hold the documents with him for some days before submitting to the bank so that 30 days time finishes off. On my denial to release the documents and consignment he allowed me to extend but on checking the consignment, I was taken aback. I refused payment, but on my personal visit to Tirupur, supplier resorted to force to get an agreement signed for release of payment. I bluntly refused. Here he even tried his Political contacts. This is how they treat importers. CAN YOU GUIDE ME WHAT CAN BE DONE IN THIS MATTER?

I am an importer of Garments in Gulf country. I cater to medium and mass marketing segment of the market. Before asking for the samples I usually try to find out the details of supplier. I also try to avoid the suppliers who deal in high cost segment products.

On my personal trip to India, I do pay for the samples whenever asked, but in most of such cases, supplier is least bothered to respond to the inquiry.

On dealing with my local clients for supplies, I have to provide them samples, whether deal clicks or not. Most of the time samples never come back. However, I take out a small qty from my stock for sample usage and include the cost to inventory costing. In business, FREE Samples cannot be avoided at all. While in India, I provide the suppliers with my Indian address, which becomes easy for them to send the sample with less cost. While at overseas, I leave the matter to supplier if he can arrange the samples to be reached. But overall we as importer, prefer to get the Free Samples. I try to minimize by telling the supplier to send me just a piece or two for product feeling and rest he can mail me the pictures.
